According to today’s purchasing laws, you must secure a minimum of three bids from band uniform vendors. First you’ll prepare specifications that tell vendors how you want your uniform to be styled and constructed. They will then submit bids and stock uniform samples for you to evaluate. School administrations may be tempted to select the lowest bid because they believe every bidder can meet your specifications. However, not all band uniform providers offer the same quality of workmanship and service.
If you want uniforms that are specially designed for you, select a company that takes the time to work with you one on one from design to delivery. Be sure to study each company’s background and process. And be aware of low-ball costs: manufacturers’ bids are based on the amount of service and tailoring they offer. Be sure to study the backgrounds of the bidding companies and evaluate their service people.
To make the best decision, form a committee of qualified persons to examine manufacturers’ samples before you open bids. A typical evaluation committee might include the band director, your school’s home economics teacher, a local tailor and representatives from your community.
Ask uniform companies to send their stock uniform samples to your school at least three or four days before the bids are opened. Have your committee examine all samples inside and out, checking critical areas such as collars, arm holes, shoulder pads, sleeve heads and coat canvases. We suggest grading uniform quality on a 4-point scale (4 being excellent and 1 being poor).
Select a qualified manufacturer who meets your budget before the bids are opened, and you will be able to secure the best return on your investment. If you open bids first, you may have to justify eliminating low bidders until the qualified manufacturer is accepted.
